Update Donor Info

Print this Topic Previous pageReturn to chapter overviewNext page

The Update Donor Info tool is found on the Tools menu. It operates just like the Update Gift Info feature, except that instead of downloading gifts, it only downloads addresses and phone numbers.

Read More > Tutorial: Downloading Gifts from the Web

The Address Input follows these steps:

1.Step 1: Confirms your username and password to your ministry's Web system
2.Step 2: Offers options for downloading addresses and phone numbers

Download all addresses.

Checked: This downloads all addresses associated with your account, from the earliest available dates in your Ministry's system.

Unchecked: Downloads only addresses updated since the date you select on the calendar.

Try to match existing contacts. TntConnect tries to match contacts from the download with the existing contacts in your list.
3.Step 3: Downloads addresses and asks you to match any contacts it cannot identify. (If you have been downloading gifts, you probably will not have any to match.)
4.Step 4: Offers to lookup all contacts whose addresses or phone numbers are out-of-sync with your organization. This does not indicate that these out-of-sync items are from this download; they may have been out-of-sync before.

Menu Path: Lookup | Unreviewed Account Info

Note: Although TntConnect will download addresses and highlight discrepancies between your TntConnect database and your organization, it will not highlight name discrepancies. For example, if a donor's name changed and was changed in your organization's database, there will be no visible evidence in your TntConnect database. However, you can see the donor name as it appears in your organization by looking at the View Org Info screen.

Can we suggest / request that the Name field from Donorwise also be highlighted in the 'unreviewed' window, and allowed to be changed by clicking (just like address & email)?

Also, we noticed that beyond the first 1 or 2 phone numbers, additional numbers aren't showing up. Are not all the address, phone & email fields downloading?

Hi Matt, Thanks for your suggestion regarding this.  I'll definitely take it into consideration.  Currently there are only three phone numbers exported from DonorWise:  Preferred Phone, Mobile Phone and Spouse Mobile Phone.  There are only two email addresses exported as well (one for each spouse).

Is there a way to add new account info rather than simply updating/overwriting account info? I've had numerous occasions where I have a correct email address or phone number for a contact but my organization has a different email address or phone number for the same contact.  I don't want to overwrite my info, but I'd like to add my organization's info as a second email address or phone number.  I even recently had a case where a donor has two mailing addresses: one that they use in the summer and one that they use in the winter.  I originally had the winter address, but when they sent a gift in the summer it wanted to overwrite the original address with the new address.  But I didn't want to lose the original address because I know that they are both valid addresses. I solved the problem by entering it manually, but it would be nice if the update info dialogue would give the option of adding info rather than overwriting.

Hi Jonathan,  When you click "Accept", you're given the option to overwrite the existing address/phone/email, or you can add it to another slot "Other Address", "Email 2", etc.  I do this all the time for the reason you mentioned.
